As a Property Management Assistant, you will play a crucial role in ensuring the smooth operation of our property management processes.
This is an office-based position located in Killeen, with working hours from 8:
45 AM to 5:
15 PM.
Responsibilities:
Work Order Management:
Receive and process work orders from tenants and property owners.
Review work orders for accuracy and completeness.
Prioritize and schedule work orders based on urgency and availability of resources.
Coordinate with maintenance staff to assign and track work order progress.
Follow up with tenants and property owners to ensure timely completion of work orders.
Maintain accurate records of work orders and related documentation.
Property Inspections:
Assist in organizing and scheduling property inspections.
Prepare necessary documentation and forms for inspections.
Coordinate with tenants and property owners to schedule inspection appointments.
Accompany inspectors during property inspections, documenting findings and taking notes as required.
Prepare inspection reports and distribute them to the appropriate parties.
Follow up on any necessary repairs or maintenance identified during inspections.
Administrative Support:
Provide general administrative support to the maintenance department.
Answer phone calls and respond to inquiries related to work orders and inspections.
Maintain and update databases and filing systems with accurate and current information.
Prepare and distribute correspondence, memos, and reports as needed.
Assist in preparing and maintaining departmental budgets and expense reports.
Collaborate with other team members to ensure efficient workflow and communication.
Requirements:
High school diploma or equivalent; additional relevant certifications or education is a plus.
Previous experience in property management, maintenance, or a related field is preferred.
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Proficient in using office software (e.
g.
, Microsoft Office Suite).
Detail-oriented with a high level of accuracy in record-keeping.
Ability to multitask and prioritize tasks effectively.
Familiarity with property management software is a plus.
Knowledge of local housing regulations and building codes is beneficial.
Ability to work independently and as part of a team.
